Enquiries
Our contact form asks for your name, email, phone number, service requirements and message. We use these details to respond, prepare a quote and arrange work you request. Please avoid including sensitive information that is not needed for your enquiry.
Information about customers and tenants
We receive information directly when you contact us by form, email, phone or WhatsApp, or make a booking. Job records can include contact and property details, appointment arrangements, quotes, invoices, payment status and electrical inspection or work records.
A landlord may give us a tenant’s name, contact details and property address so we can arrange access and carry out electrical work. We use those details for that job, not marketing. You can contact us to ask where we obtained your details or to correct them.
Enquiries are stored in Neon for 12 months and processed using Netlify and Resend to notify us by email. Email copies are managed separately. Our website is hosted on Netlify. These providers may process technical information necessary to deliver and protect their services.
Who helps us handle your information
- Google Workspace provides our business email and related business tools.
- Tradify and StellarFlow help us manage customer records and electrical work.
- Netlify hosts this website and processes contact requests.
- Neon stores website enquiries, and Resend delivers enquiry notifications.
- StellarFlow’s booking journey uses Stripe for payments; payment information is handled through that journey.
- Google Analytics processes optional website analytics only when enabled and accepted.
These services receive the information needed for their role. We do not currently send marketing emails or texts, or share customer details with subcontractors. Information may also need to be disclosed where the law requires it, for example to HMRC.
Processing outside the UK
Having UK customers does not mean all processing stays in the UK. Our service providers may store or access information in other countries, including the United States. Resend’s published terms, for example, provide for US processing and the UK Addendum to Standard Contractual Clauses for UK transfers.
The safeguards for an overseas transfer depend on the provider and destination. They can include UK adequacy regulations or contractual safeguards such as the UK Addendum, which place data-protection obligations on the recipient. Contact us for information about the safeguards relevant to your data and how to obtain a copy. You can also read Resend’s data processing terms.
Booking an inspection
Booking links take you to StellarFlow, where you enter property and contact details and arrange payment. Read the notices and terms displayed in that booking journey. We do not collect card details through this website’s contact form.
Optional analytics
We measure approved campaign labels and the origin of referring websites, without sending their full links or search terms. Your choice covers this website and Stellar Electrics’ booking pages on stellarflow.app. Following a booking link carries your choice to those pages, so you do not have to answer twice. With acceptance, Google can join the visit and booking journey using its short-lived link parameter.
We offer optional Google Analytics to understand how people use this website. When enabled, analytics only loads after you accept it on either of these connected sites. Declining does not prevent enquiries or bookings.
With consent, we measure page visits and clicks on booking and telephone links. We send recognised page paths and button positions, not contact-form values, customer details, URL query strings or fragments. Google may also process device, browser and network information to provide analytics.
Booking-link clicks tell us that someone continued to StellarFlow; they do not establish that a booking was completed. Advertising signals and personalised advertising are disabled in our tag configuration.
Cookies and your choice
We remember your choice for six months. Changes apply here immediately and carry across when you follow a connecting link. Other open tabs or direct visits on the other domain may retain their saved choice: use Cookie choices there too when withdrawing. If a browser blocks the handoff, the other site asks separately. Old approvals are not automatically expanded to this shared scope.
We store your analytics choice locally in your browser for six months. If you accept analytics, Google may set cookies with a business-specific sf_ prefix followed by _ga and an identifier, configured here with a six-month lifetime. You can change your choice at any time. Withdrawing consent stops our tracking and removes these analytics cookies; the page refreshes to apply the change.
Why we use information
- Enquiries, quotes and agreed work: taking steps at your request before entering a contract, and performing our contract with you.
- Arranging access with tenants: our legitimate interests, and those of the landlord and occupants, in arranging and carrying out requested electrical work safely. A tenant does not need to be a party to the landlord’s contract with us.
- Tax and accounting records: complying with legal record-keeping obligations.
- Security and resolving queries or disputes: our legitimate interests in preventing abuse, maintaining evidence of work and protecting our business and customers.
- Optional analytics: your consent, which you can withdraw.
We need enough contact and job information to respond and arrange work. If you do not provide it, we may be unable to handle your request. You do not have to accept analytics to use our services.
How long we keep information
- Website enquiry database: 12 months from submission, after which the enquiry and its notification job are scheduled for deletion. This does not automatically delete email copies or job records.
- Invoices and tax records: at least five years after the 31 January Self Assessment submission deadline for the relevant tax year, and longer where HMRC requires it, for example during an enquiry.
- Email, bookings and job records: the retention period depends on whether an enquiry becomes work, whether the record is needed for tax purposes, and whether there is an outstanding query, warranty obligation or dispute. Unneeded duplicate correspondence should not be retained simply because a job record is still required.
- Electrical certificates and inspection records: we assess retention against the need to evidence the work and its safety, relevant insurance or certification requirements and any outstanding claim.
Provider logs and backup copies have their own retention cycles and may not disappear immediately when an active record is deleted. Contact us if you want to know which records we hold about you or request their deletion. A deletion request may be limited where we still need a record for a legal obligation or claim.
Your rights and contacting us
Depending on the circumstances, you can ask to access or correct your information, request deletion or restriction, object to processing, or request a portable copy. You can withdraw consent without affecting processing that took place before withdrawal. Contact us using the details above. You can also raise concerns with the Information Commissioner’s Office.
